# Import your bookings

> Let your own AI app copy the bookings from the system you use today into a property that is still preparing in Vidimo.

While a property is **Preparing**, your current system still runs it. You can
have your own AI app (Claude or ChatGPT) copy that system's bookings into
Vidimo, so the property is ready before you switch. The import never sends
anything to guests, channels or the authorities, and you can undo it.

The AI app reads your system's screens the way you would, in a browser where
you are signed in. Vidimo never sees your password for that system, and you
never paste guest details into the chat.

## What you need

* Your property in Vidimo, still **Preparing**, with its rooms set up.
* Claude or ChatGPT with the Vidimo connector added. See
  [Connect Claude or ChatGPT](/messaging/connect-your-ai).
* An AI app that can use a browser for you, such as Claude in Chrome.
* Owner or manager access to the property in Vidimo.

## Start the import

**1. Open the prompt in Vidimo**

Go to **Settings**, **Rooms & rates**, **[Imported bookings](https://my.vidimo.app/link/imported-bookings)**,
and tap **Copy prompt** on the **Import your bookings with your AI app**
card.

**2. Sign in to your current system**

In the browser your AI app uses, open the system that holds your bookings
today and sign in.

**3. Paste the prompt**

Paste the prompt into a new chat. The first time, your AI app sends you to
Vidimo to allow **Import your existing bookings**: tap **Allow access**.
If it says this connection was not given that consent, remove Vidimo from
your AI app, add it again, and allow importing when asked.

**4. Answer its questions**

Your AI app asks which system you use,
whether you have a channel manager, which channels your guests book
through, and where you keep bookings that don't come from an OTA.

**5. Confirm the rooms**

Your AI app matches the rooms in your system to your Vidimo rooms and asks
you to confirm any that don't have the same name. Add a missing room in
Vidimo when it asks.

**6. Let it copy and check**

Your AI app copies every guest in the house and every future stay,
cancellation and blocked room, then checks Vidimo's count against your
system's own totals and goes back for anything missing.

## Check the result

Each import shows up under **Imported bookings**:

* **Matches** your system: the bookings each month and every room's nights
  agree.
* **Doesn't match**: the months and room nights that differ, so you can look
  them up.
* Its totals weren't sent: your system doesn't show the totals Vidimo checks
against, or the bookings came from a second place such as a spreadsheet, so
  compare the result yourself.
* Things to look at: what your AI app couldn't settle, such as a possible
duplicate or a booking it couldn't read.

> [!NOTE]
>
> While the property is preparing, **Undo import** removes the bookings and
> blocked rooms that import added, with any guest details you recorded on
> them. Your other bookings and your guest profiles stay, and nothing changes
> in your current system.

## What the import can't copy

* Bookings kept only on paper, or in a file on your own computer. Add those
in Vidimo once it runs the property.
* A property Vidimo already runs. Importing only works while a property is
  preparing.
