Most European countries require you to report each guest’s stay to a government system, with a deadline and a set of details that vary by country. The Guest registration setting holds a written brief that tells you what your property must file, to whom, by when, and for which guests. Vidimo drafts it for you from your property’s location using AI. You then review and edit it freely. You remain responsible for the filing. You’ll find it in the property settings, under Guest registration.

What you see

At the top, the Location box shows the property’s country, and the city and region from its address. The jurisdiction is read from there, not edited on this screen. If it’s wrong or missing, tap Edit address to fix it on the property’s info page. A Filing requirement box summarises the obligation at a glance. For a property in Italy or Slovenia it is there from the start: its deadline and who is reported come from the law itself, and a Set by line under it links to the provision each row comes from. Elsewhere it appears once a brief exists: Below it, the fields required for each reported guest are listed. Check-in asks each guest for exactly these, in the check-in link and when you scan their ID at the desk. The list always includes what your country’s filing system needs to accept a registration, plus anything the brief adds, so editing the brief can add a field but never drop one the authority insists on. The Compliance brief field holds the brief in full. Next to its label, a small status tag tells you where it stands: Next to the status, the screen shows a version such as · v2. It goes up by one each time the brief is regenerated or saved.

Confirm the location

Make sure the Location box shows the right city and country. If the property has neither a country nor an address, the AI has no jurisdiction to research and the generate button stays disabled.

Generate with AI

Tap Generate brief with AI (it reads Regenerate with AI once a brief already exists). The status switches to Generating… and the app researches your local registration rules. This can take a few minutes. You can leave the page and it keeps running.
If the property has neither a country nor an address yet, you’ll see a prompt to set one first so the AI knows which jurisdiction to research. Add the address on the property info page, then come back.

Review and acknowledge

When generation finishes, the brief appears in Compliance brief, the Filing requirement summary fills in (outside Italy and Slovenia, where the law already filled it), and any Sources the AI used are listed below as links you can open to check its work. Read it through, edit the text as needed, then tap Save & mark reviewed. The status becomes Edited by you, you’ll see a Saved confirmation, and the screen records the date you reviewed it.
The save button is only available once a brief exists. If you haven’t generated one yet, the screen reminds you to Generate a brief first to enable editing.
The brief is AI-drafted from public sources. Always verify the requirement against your local authority. You remain responsible for registering your guests correctly and on time.

Check your government account

Further down the same screen, each government system your property files to has a card. Where Vidimo can check an account without filing anything, which today is Alloggiati Web in Italy, the card offers Connect to check before automatic submission is ready. Enter the username, password and WS Key from the Alloggiati Web portal and tap Connect. Vidimo then signs in and has the service validate a test record for a fictional guest. The check files nothing: no guest is reported and nothing reaches the police register. The card’s badge shows what the latest check found, and a sentence under it says when and what the service answered, in its own words where it gave some: Check now runs the same check again, at most once every ten minutes. After Sign-in refused or Key refused the button is gone: Vidimo never signs in again on its own with credentials the service refused. Tap Update credentials, correct what the sentence names, and tap Update to check again; if you are sure they were right, disconnect and enter them again. Once an account has been checked, Vidimo rechecks it on its own at most once a day. The Integrations settings show the same badge.
A working account does not mean Vidimo files your guests yet. Until the card says automatic submission is ready, keep registering each guest with the authority yourself. Vidimo will ask you before it submits anything with this account.

Filing status on each reservation

Where automatic filing is available and connected, Vidimo files each guest with the authority and shows the progress right on that guest’s row. There’s no separate registration section to check. Open a reservation and look at Guests: any guest with a report due carries a status pill, folding their check-in and (where your country files departures too) check-out reports into one governing status. Tapping an Action needed row expands it in place. The first line names the system that stopped it, “eTurizem (AJPES) rejected this registration”, so on a property that files to more than one authority you can tell which one to ring. Where the authority sent a reason, its own words appear underneath in quotes, with the time it answered; they are shown exactly as received, which may be in the authority’s language. The reason is stored on your device with the rest of the filing, so it still reads when you have no signal. Then the fix that applies:
  • Wrong or missing ID details: tap Fix and refile to edit the guest’s details right there. The form shows their document fields and every other detail your property’s registration rules require, such as the country of birth for an Italian property. Tapping Save with one still missing marks it in red and jumps to it; once everything is filled, saving resubmits immediately.
  • Registration credentials disconnected or refused: tap Reconnect credentials to fix them in Guest registration settings, then come back and tap Retry to resubmit the guest.
  • A temporary problem: tap Retry to resubmit now. Either way, the result you see is the authority’s real answer, not a queued acknowledgement.
  • Automatic filing isn’t available for this system: nothing was submitted and no authority has seen this guest: file them yourself, directly with the authority, before the deadline, then tap Mark as filed manually. This is one of the cases that is not a rejection, so no reason is quoted. The same is true when the credentials were never connected, or when Vidimo could not reach the authority at all: there is no answer to quote yet.
Mark as filed manually appears on every filing that stopped for you, since you can always register a guest with the authority directly instead. It asks you to confirm first: once marked, Vidimo stops reminding you about that report, clears it from the notification center, and the pill reads Filed by you. Where your country also wants a check-out report, Vidimo won’t file that one either once you’ve filed the stay yourself, because it has to match the record you made. When it comes due it stops for you, saying you filed this guest’s other report yourself, with the same push and reminder, and you mark it filed the same way. A filing that is still retrying on its own (Filing…) normally needs nothing from you. If its legal deadline gets close, the guest’s row shows the deadline and offers the same Retry, so you can resubmit immediately instead of waiting for the next automatic attempt. Whenever a guest’s identity is completed (by the guest in the check-in portal, or by you scanning their passport at the desk), any filing that is already due is submitted right away, so most stays never need you at all.

Withdraw a report you should not have filed

Sometimes a report is filed for a guest who never stays: a no-show you had already reported, or a booking that was filed against the wrong property. The authority’s own rule covers exactly that case, and where they support it Vidimo can take the report back out for you instead of leaving you to their website. Open the reservation and find the guest under Guests; under a filed registration you will see Withdraw from eTurizem (AJPES) (named for whichever authority the report went to). Tapping it asks you to confirm, because of what happens next:
The authority marks the record cancelled, so the guest is no longer reported as staying with you. This cannot be undone from Vidimo, and Vidimo will not file that guest again afterwards. Use it when the guest is genuinely not staying at the property.
Once it goes through, the guest’s pill reads Withdrawn and the row says which authority it was withdrawn from and when. The record stays in their register marked as cancelled; that is how these registers work, and it is what shows an inspector the report was retracted rather than never made. If the authority refuses the withdrawal, their own answer is shown to you and nothing changes: the report is still filed, and you can try again. The option appears only where the authority supports withdrawing a report and only on a report they have already accepted. A filing that is still going, or one that stopped on a problem, is handled through the actions above instead. Filings that need your eyes also appear in the notification center under Guest registration: rejections first, then deadline-approaching filings with the closest deadline on top. Each row says what is happening (for example “Retrying automatically” or “Filed, awaiting the authority’s confirmation”) and how much time is left (“due in 6h”) or how far past the deadline it is (“overdue by 2h”; the pill then reads Deadline passed). A row clears on its own once the filing is confirmed, or once you mark it filed manually. Tapping a row opens the reservation, scrolled to that guest. You don’t have to open the app to hear about them. When Vidimo can’t file a guest, everyone on the property who can edit guests gets a push naming the guest and the deadline, one push per property however many guests stopped at once. The person whose own save stopped it sees it on screen instead. A filing that still needs you also gets up to one reminder in the last 3 hours before its deadline.
