The Calendar tab shows your reservations on a timeline. Each unit in the property you’re viewing gets its own row, and every stay appears as a bar across the dates it covers. For a single day (who arrives, who leaves, and who is staying), open the Today tab instead. The Calendar is for spans and gaps; Today is for the day in front of you.

How to read the timeline

  • Rows are units. The unit’s code (or name) labels each row down the left side. Dates run across the top.
  • Bars are reservations. A bar spans a booking’s check-in to check-out on that unit’s row. Tap a bar to open the reservation.
  • A bar names the guest and the channel. The guest’s name sits on the first line, the channel the booking came through (Direct, Airbnb, Booking.com, Vrbo) on the second, so you can tell where a stay came from without opening it. A dot beside the name marks a booking that still owes money, with the amount next to it. As a bar gets narrower the amount goes first, then the channel, then the name; the dot stays to the last, so an unpaid stay is always spottable. Hover a bar on a computer to read the full line back.
  • A booking across two rooms states its balance once. It draws one bar per room and they share a single bill, so the amount appears on one of them. Both carry the dot. The figure is the whole booking’s, not each room’s.
  • The Free row counts what’s left. Above the dates, a row labelled Free gives one number per night: how many rooms are still sellable. It answers “is anything free on Friday?” without reading down every row. Rooms that are booked, and rooms held off sale, are both taken out of it. So is a room that is sold but has no room number assigned yet, which is why the count can be lower than the empty rows you can see. A stay’s check-out night counts as free again, because the next guest can arrive that day.
  • Dashed lines mark each day. A faint dashed vertical line falls on the property’s Check-in from time each day, so the space between two lines is one night. Count the lines across an empty stretch to read how many nights a unit is free. Change Check-in from in the property’s details and the lines move with it.
  • View menu. The button above the timeline reads the current view. Tap it to switch between Units (the default: one row per unit), Staff (one row per teammate, for seeing assigned work across the schedule) and Rates (every night’s price and rules, for owners and managers: see Pricing).
When you’re viewing more than one property at once, units are grouped under a collapsible header for each property so you can tell them apart. If those properties don’t share the same Check-in from time, the dashed lines fall back to a standard 15:00. Narrow the scope to one property to see its own check-in time.
The Free row counts the rooms you’re currently viewing, so it follows the property selector at the top of the screen: across every property it’s a total, and narrowed to one property it’s that property’s own. It appears in the Units view only, because a staff row is a person and there are no rooms to count. Zoom out far enough and the numbers drop away once the day columns are too narrow to read; zoom back in and they return.

What the colors mean

Reservation bars are colored by status, and task blocks (in the Staff view) by their status. Tap the small (i) beside the Calendar title to open the Legend, which maps each color to its label. In the Units and Staff views it has two groups; while the Rates view is up it shows the Rates marks and how the board’s taps work instead (see Pricing):
  • Reservations: Requested, Confirmed, Checked In, Checked Out, Cancelled, and No Show. See reservation statuses for what each one means.
  • Tasks: Pending, In Progress, Completed, and Cancelled.

Held rooms

A striped band across a room’s row means those nights are held off sale (an owner stay, maintenance, or a manual close) rather than booked by a guest. The band is labelled with the reason, and it sits behind any reservation bars so you can still see what is booked around it. Held nights are subtracted from what your connected channels can sell, the same way a reservation is. They come out of the Free row above the dates too: hold a room for a night and that night’s count drops by one.

Hold nights from the calendar

Tap Block dates above the timeline, then drag across a room’s row to hold those nights. The hold applies to that one room, with the reason Closed manually. Tap Done blocking to go back to normal panning.
Block dates only appears in the Units view, and only for users who can edit reservations. A staff row is a person, so a room hold has nowhere to land on one.
To hold a whole room type, or to pick a different reason, use Blocked dates in property settings.

Moving around by date

The timeline opens on the current week. To move:
  • Today: the Today button snaps the timeline back to the current week.
  • Previous / Next: the chevron buttons (< and >) step the view backward or forward by the window you’re currently looking at.
  • Jump to a date: the in the top-left corner opens a date picker; choose a date to jump straight there.
  • Pan and zoom: drag the timeline to pan across dates, and pinch to zoom in and out, from a single day up to a whole year at a glance. Short tasks are hidden when you’re zoomed too far out for them to be legible. A brief job appears only once you zoom in close enough to see it, while longer jobs stay visible from a wider view.
On a computer, the left and right arrow keys also step the timeline back and forward while the Calendar is open.

Add a reservation

To enter a booking yourself (a walk-in, a phone reservation, or anything that didn’t come from a connected channel), tap New Reservation (the + button in the top-right of the Calendar).

The form opens with tonight’s dates already filled in, so a walk-in needs nothing more than a name and a room.

Add the guest

Under Guest, enter the booker’s First name (required), and optionally their Last name, Phone, and Email.

Set the dates

Adjust Check-in – Check-out if the stay isn’t tonight. The field shows how many nights you’ve picked. Tapping a date when a range is already set starts a new range rather than stretching the old one.

Pick the property and room

Choose the Property, then the Unit. Both are required. The room list tells you what’s actually available: each room already taken for those dates is marked Booked, and the label above the list counts how many are free. Picking a booked room shows who is in it, and Create stays disabled until you change the dates or the room.

Add stay details (optional)

Record the number of Adults, Children, and Infants, whether they’re Travelling with a pet, and any Accessibility or Dietary notes the housekeeper should know. Status and the arrival and check-out times sit at the bottom of the form; the defaults suit most bookings.

Tap Create

The reservation is saved and its details sheet opens straight away, so you can read the booking back to the guest while they’re still on the phone.
While Create is disabled, the form lists what it’s still waiting for just above the button: the check-in and check-out dates, the Property, the Unit, and the guest’s First name.

Opening a reservation

Tap any reservation bar to open its details, where you can view the stay, the guests on it, the tourist tax, and linked tasks. See View a reservation for a tour of the details sheet and Manage guest details for the guests on a stay.
On a computer or an iPad with a keyboard, you can also reach the bars with the Tab key and press Enter to open the one you land on. The bar you are on is outlined, and a screen reader reads it out as the guest, the channel and anything still owing.

It remembers your place

The Calendar keeps its position as you move around the app. If you scroll to a future week and then switch to Chats or Tasks, you’ll come back to the same spot rather than being reset to today. To deliberately return to the current week, tap the Calendar tab again while you’re already on it. This snaps the timeline back to today.

When there are no units yet

A unit is a rentable space: a room, apartment, or villa. Until your property has at least one unit, the Calendar has no rows to draw, so it shows No units yet with a Create your first unit button.

This takes you to your property’s unit setup.

Add a unit

Give it a code, a name, a type, and a maximum number of guests.
Once a unit exists, it appears as a row on the timeline. Reservations for it show up automatically from your connected channels, and you can also add one yourself. Full steps: Manage units.
