Vidimo can read a guest’s passport or ID card with your device camera and
fill in their identity details for you (name, nationality, document number,
expiry, and more), so you don’t have to type them in at check-in.
Where to start
You launch the scanner from a reservation, so the app knows which guest the
document belongs to.
Open the reservation
From the Calendar, tap the booking to open its reservation details.
Tap Scan ID / passport
In the guests section of the reservation, tap Scan ID / passport. The
ID Scanner screen opens and the camera starts automatically.Prefer to skip the camera? Type details, right next to it, opens the
same form the scanner fills, empty, for you to copy the document by hand.
Everything below about saving, filing and who the entry applies to works
the same either way.The same section tells you what is left to scan: its summary line counts
the IDs on file against the party the booking expects, and anyone the
booking doesn’t name yet shows as an expected line. See
View a reservation. If the reservation has no guests yet, the scan records the first one:
confirm the details and the person is added to the booking, ready to
register.
Point the camera at the document
Hold the camera over the machine-readable zone: the two or three lines of
<<< characters at the bottom of a passport or ID card. An on-screen guide
helps you line it up. The app reads the document on-device.
Changed your mind? Tap ✕ at any time, even while the scanner is still
starting up, to go back to the reservation.
Review and save
After a successful scan you’ll land on Check the details, with the captured
fields ready to review:
- First name and Last name (both required)
- Nationality and Issuing country
- Sex
- Date of birth and Expiry date
- Document type (passport, ID card, or other)
- Document number and Personal / National ID
Some countries’ registration rules ask for details no document carries. When
your property’s do, those fields appear below the document’s own, under
“Required to register the stay here”: an Italian property asks for the
Country of birth, and the Place of birth for someone born in Italy. If
the guest’s record already holds one from an earlier stay, it is filled in for
you.
Every country field opens a searchable list: tap it, start typing the
country’s name, and take it from the matches. Accents are optional, so “cote”
finds Côte d’Ivoire, the name works in any of the languages the guest portal
speaks, and the code the passport prints works too, so both “SVN” and “SI”
find Slovenia. Picked the wrong country? Just pick the right one. Clear,
in the top corner of the list, is for leaving an optional field empty.
Nearly every field is required, so the form marks the exceptions instead: a
field your property’s rules can go without says Optional beside its name.
Correct anything the scan misread, then tap Confirm. If a required detail
is still missing, nothing is saved: each missing field is marked in red with
what it needs, and the form jumps to the first one. You return to the
reservation once it saves, and the details now appear on that guest’s record.
Saving also files the scan. The guest is added to your
guest registry, and where the stay owes a guest
registration, any filing already due is submitted straight away, so the
confirmation tells you what came of it: Saved and filed once the authority
confirmed, Saved and submitted while it is still processing, or Saved,
but the registration still needs attention when something needs fixing. See

No signal at the desk? The document still saves to the guest, and the
registration is filed on its own once you’re back online. If it can’t be filed
by then (the stay has moved on, or the details were refused), the app tells
you, so you can fix it from the reservation.
Not happy with the read? Tap Retake scan to capture the document again;
your current details stay on screen until the new scan succeeds. If a scan
doesn’t read at all, the That one didn’t read screen offers to Try
again, Use another document, or Type the details instead.
The app only asks Apply scan to when there is a real choice to make:
someone is already on the booking, so a scan could update their record or
create a new person. Pick the right entry before confirming, so the document
lands on the correct record. With nobody on the booking yet there is nothing
to ask, and the form goes straight to recording the new person.
Record someone who isn’t on the booking yet
A booking often names fewer people than are actually arriving: a room booked
for two usually names one. The reservation’s Guests section shows the
difference as its own line, for example 1 more guest expected. Tap
Scan ID / passport and pick Someone not on the booking yet when the
form asks who the scan applies to.
That scan works exactly like any other, except that confirming creates the
guest: they are added to the booking with the details from their document, they
appear in the guest registry, and any registration
due for the stay is filed for them straight away.
This needs a connection: the person, their place on the booking, and their
registration are saved together, so there is nothing to keep locally and
retry. If the booking already has everyone it says it is expecting, the app
tells you instead of adding a duplicate.
If a field comes back flagged as invalid, the app lists it so you can fix it by
hand before saving. Always review the captured values against the physical
document: you stay responsible for what’s recorded.
